GENERAL INFORMATION
Foreign citizens participating in Erasmus+ mobility programmes at Universitas Warmadewa, Indonesia, are required to enter Indonesia with an appropriate visa according to the purpose and duration of stay.
Visas cannot be issued or extended upon arrival unless specifically eligible; applicants must apply before entering Indonesia through the Indonesian Embassy or e-Visa online system (molina.imigrasi.go.id).
SHORT-TERM MOBILITY (up to 60 days)
Participants staying in Indonesia for short-term academic mobility, teaching, meetings, or training lasting up to 60 days may apply for a Visit Visa (Single Entry, Index B211A) under the category of educational, social, or cultural visit.
This visa allows participation in academic collaboration, teaching exchange, seminars, or short research activities at Indonesian higher education institutions.
Required documents include:
- Passport valid for at least 6 months upon entry.
- A formal invitation letter or acceptance letter from Universitas Warmadewa.
- Proof of sufficient financial means (e.g., recent bank statement).
- Return or onward ticket.
- Recent passport-size photograph.
- Proof of health/travel insurance valid for the period of stay.
Visa validity:
- Valid for 60 days, extendable up to 4 times (maximum total stay of 180 days).
- Application can be made online via https://evisa.imigrasi.go.id/ or through the Indonesian Embassy/Consulate prior to arrival.
- LONG-TERM MOBILITY (more than 60 days)
For Erasmus+ participants staying in Indonesia for more than 60 days (e.g., semester-long teaching, research, or training), it is necessary to obtain a Limited Stay Visa (Visa Tinggal Terbatas), under the category of education or research.
Upon arrival in Indonesia, VITAS holders must convert their visa into a Temporary Stay Permit (KITAS) within 30 days at the local Immigration Office (Kantor Imigrasi) near their place of residence or host institution.
Required documents include:
- Passport valid for at least 18 months.
- Visa authorization (Telex VITAS) issued by the Directorate General of Immigration, sponsored by Universitas Warmadewa.
- Formal invitation and sponsorship letter from Universitas Warmadewa (including address and contact person).
- Proof of sufficient financial means.
- Proof of accommodation in Indonesia.
- Health insurance valid for the duration of stay.
- Recent photographs.
Validity and extension:
- Initial stay: up to 12 months, extendable annually.
- KITAS holders may obtain a Multiple Exit Re-Entry Permit (MERP) for international travel during the mobility period.
- HEALTH INSURANCE
All incoming Erasmus+ staff or students must possess valid health or travel insurance covering medical treatment, hospitalization, and repatriation during their entire stay in Indonesia. Proof of insurance must be presented during the visa or KITAS application process.
- REGISTRATION AND REPORTING
- Foreign visitors staying at hotels or official residences are automatically registered by the accommodation provider.
- Those staying in private housing must report their address to the local immigration office or neighbourhood authority (RT/RW) within 24 hours of arrival.
- For stays longer than 6 months, registration at the civil registry (Dukcapil) for temporary residence may be required.
- IMPORTANT NOTES
- It is strongly advised to apply for the appropriate visa well in advance (at least 4–6 weeks before departure), as processing may take time.
- Visa on Arrival (VOA) or Tourist Visa cannot be converted into a KITAS for academic or teaching purposes.
- Universitas Warmadewa will provide official invitation and sponsorship letters required for the visa application once the participant’s Erasmus+ mobility is approved.

Erasmus+ International Credit Mobility
The Erasmus+ KA171 International Credit Mobility (ICM) program funds mobility for students and staff between higher education institutions in EU and partner countries. It allows students to study or do an internship abroad for 3 to 12 months per study cycle and staff to teach or train for 5 days to 2 months. The goal is to promote internationalization, personal development, and academic cooperation, with funding provided as a scholarship to cover costs.
OBJECTIVES

PROGRAM PERIOD OF STAFF EXCHANGE BY ERASMUS+
Mobilities may take place in 2025/26 or 2026/27. For staff exchange, the program period is 5 days with 2 days for travel, covering 7 days in total. This staff exchange program will be carried out in 2025/2026 or 2026/2027 academic year.
APPLICATION DEADLINE
The calls for staff exchange program by Erasmus+ Mobility Grant will be closed on February 24th, 2025.
APPLICANTS ELIGIBILITY
The call is open to all subject areas. Applicants must check that the requested mobility proposal matches the offer available at the host university. Faculty of Social and Political Sciences staff who are interested to join this staff exchange by Erasmus+ must meet the following requirements:
- An active Faculty of Social and Political Sciences, Warmadewa University staff and student.
- Having excellent work performance.
- Approved by direct supervisor or head of study program.
- Having good English communication skills, proved by IELTS/TOEFL/EPRT
COVERAGE OF ERASMUS+ GRANT
The allocated budget covers a total of nine days, consisting of seven workdays for the activity period and two additional per diems for travel days. This ensures full support for both the duration of the stay and necessary travel arrangements.
